How to take bookings online without depending on the phone
The three ways to take bookings, what they cost, what each one asks of the team and how to choose without getting tied to a platform.

During service, nobody answers the phone. Someone who calls at half past eight on a Friday hears it ring, hangs up and goes to eat somewhere else. There is no record of that loss, and that is why it goes on for years without being fixed.

Start with the right question#
Before choosing the tool, answer this with your team:
- Who confirms the requests, and at what time of day?
- How quickly do you commit to replying?
- How many tables can you accept without talking to the kitchen?
- What do you do when the request is for a closed day or a large group?
A restaurant that cannot answer these four questions will have problems with any system, however good it is. A restaurant that can answer them can work well even with a simple form.
The minimum a booking request needs#
- Date, time and party size, with the times the restaurant actually accepts.
- Name, phone and email of the person booking.
- A free field for special requests, which is where high chairs and allergies show up.
- Immediate confirmation on screen and by email, with the reply time in writing.
- A clear note when it is a request and not a guaranteed booking.
- Consent to be contacted and a link to the privacy policy.
What changes with a management dashboard#
A management dashboard is the difference between receiving loose emails and having a list. With a dashboard, you can see the day's requests in order, mark them as confirmed or declined, close whole days and keep a history of who has already been. Costly mistakes#
- Asking for too much information. Every extra field means people giving up halfway.
- Hiding the booking button in the navigation menu instead of putting it in plain view.
- Not showing real times and letting guests request an impossible hour.
- Not replying to requests at the weekend and replying on Monday morning.
- Sending everyone to an external platform when the website could take bookings directly.
A sensible way to start#
- Put a booking request on the website, with automatic confirmation and the reply time in writing.
- Decide who confirms and when. One person, twice a day, is enough.
- After a month, look at how many requests came in and at what times.
- If the volume justifies it, move to time slots with capacity and a management dashboard.
- Only after that, assess whether an external platform adds anything.
The order matters. Buying an expensive system before knowing the real volume is the most common way of paying for features nobody uses.
Frequently asked questions
Is a booking form enough for a small restaurant?
For many, it is. What the form solves is catching the request of someone who cannot call. What it does not solve is managing capacity and tables. If the floor is already run from a notebook and it works, the form fits into that notebook without much friction.
What if a booking arrives when nobody is looking?
That is why automatic confirmation matters. The guest immediately gets confirmation that the request arrived and when they will get a reply. From then on, they stop calling to ask.
Do booking platforms bring new guests?
They bring visibility inside the platform, and that has real value. What is worth understanding is that the guest starts to associate the booking with the platform rather than your restaurant, and the relationship with that guest stays on the platform.
Can I have both at the same time?
You can, and it is the most common setup. The website takes direct bookings, with no commission, and the platform keeps bringing the people who already use it. What matters is that the website shows the direct route clearly, otherwise it sends everyone to the platform for no reason.
